What is included in my rental package?

Cozy Oaks Farm has separate rooms for the bride & groom, a commercial kitchen, large private parking area, the option to access the property for engagement photos and wedding rehearsals, and more.
How many guests can be accommodated?
The barn can easily accommodate 200 seated guests inside. A further 50 guests can be accommodated under the covered porches on either side of the barn. There is also ample space around the barn to accommodate more guests under tents should you wish.
Where can I find available dates?

Can we visit the farm unannounced or do we need to schedule a tour?
We do require all of our guests to schedule a tour ahead of visiting the venue. Please contact us using the available forms on our Contact for warming page.
Are there any lodging facilities near the venue?
Yep! The closest is Tru by Hilton Jacksonville West. There are also numerous other hotel options a little further south by the intersection of the 295 and 10 freeways, and many more close to Jacksonville International Airport (about a 25 minute drive to Cozy Oaks Farm).
What can be done in the event of rain during our ceremony/reception?
In the event of rain, you are welcome to move the ceremony inside the barn, where there is room to accommodate 200 seated guests.
Does the venue have privacy?
Yes! We are located on ten acres of private and secluded land in Northwest Jacksonville, surrounded by gorgeous oak trees and green fields. You and your guests will have complete privacy.
Is the venue air-conditioned?
The barn area is not air-conditioned, however we have installed large industrial ceiling fans and multiple rotating fans on each pole in the barn that are very effective at circulating the air. The space remains cool and breezy on a hot summer day!
The bride and groom rooms upstairs in the barn both have air-conditioning.
Are we allowed to have both our ceremony and reception at Cozy Oaks Farm?
Yes! We offer multiple location options on the property for both your ceremony and reception.
Do you offer multiple areas to hold a ceremony?
Yes! There are multiple areas on the property to hold your ceremony. Whether you choose to set up in front of our beautiful blueberry field with 1000 blueberry bushes, underneath majestic oak trees, in front of a towering forest, a long country road, or a beautiful rustic barn with cathedral-style vaulted ceilings, your imagination is the limit!
How long will I have use of the property?
You will have full access to the property during the rental period outlined in your Contract.
What is the available use of the commercial kitchen?
The kitchen is available for your catering staff. It has a large reach-in fridge and freezer and table-top fridges to hold your drinks. There are also multiple microwaves and prep tables for general kitchen use. A commercial gas oven is available for warming food. Unfortunately, we do not provide access to stove-top cooking within our kitchen.
Are there changing areas for the bride and groom?
There are two separate fully furnished rooms above the barn. Each room contains a private bathroom and opens to a lovely furnished balcony for guests to enjoy.
Can I bring beer, wines and spirits to be consumed on the property?
Any alcohol served on the property must be served by an insured and licensed bartender. No alcohol will be served after 9:00 pm. All alcoholic beverages MUST be stored in a secure location and removed from the property after the event. Strictly no alcohol will be served to minors.
Drunken, violent disturbances and using abusive language towards venue staff is strictly prohibited and subject to immediate removal from the property and termination of the event without refund.
Can I play music on the property?
Yes you can! We have no restrictions on what type of music you play as long as it is appropriate for all ages, and is not amplified to more than 75 decibels. You can bring your own DJ or live band. All music must end by 9:30 pm to comply with local sound ordinances.
Is there parking on the site?
Yes! We have a designated well-lit parking area that can accommodate your guests. No overnight parking is allowed without prior arrangements.
Is smoking allowed on the property?
Yes, but all smoking on the property must be done in our designated smoking areas.
How many restrooms are available on the property?
There are 2 handicap-accessible restrooms within the barn. Each restroom is equipped with a baby-changing station.
Can I schedule an engagement photo session at the venue?
Yes! Use of the property to take bridal/engagement photos prior to the event is included in your contract. Photoshoots must be scheduled with Cozy Oaks Farm 60 days in advance of your event date.
Can I decorate inside the barn and surrounding areas?
Yes you can! However, decorations must not be hung with nails, staples, glue, or screws. All decorations must be approved by the owners and must be removed after the event, by 12 midnight. Candles can be used if they are in an enclosed container. Use of confetti, rice, glitter, synthetic flower petals, or pyrotechnics are strictly prohibited on the property. Birdseeds and blowing bubbles are only permitted outside. Sparklers are allowed outside and under supervision by your wedding planner/event coordinator.
What items are not permitted on the property?
We do not allow any fireworks (other than sparklers outside for the bride and groom exit), pyrotechnics, glitter, confetti, bird seed, rice, tapered candles, or fake flower petals thrown on the ground outside. Nailing or embedding anything into the walls, rafters, or any part of the structure is not allowed. Renters can hang items from the existing nails and screws in the walls, and may use removable command strips.
Renters may not staple, glue or work anything into the tables, chairs, or walls. There should be no paint residue or marks on any fences, walls, concrete, flooring, trees, etc. There should be no climbing of any buildings or structures. All draping must be completed by a licensed and insured draping/rental company. No items may be hung from or put on any of the chandeliers. We do not allow firearms on the property.
What is the cost to book my preferred date?
We require a $1000 deposit upon signature of your contract to reserve your preferred event date. The remaining balance is to be paid in monthly payments. Should you cancel, all fees paid are non-refundable.
What methods of payment do you accept?
We accept cash, cashier's check, or Zelle for payments.
How far in advance do you book a wedding or event?
We can book your wedding up to 2 years in advance, however, we cannot reserve any dates without a signed contract and initial deposit. All dates are booked on a first come, first served basis.
Will I require liability insurance?
Yes, you will be required to purchase liability insurance that will cover the event and your guests attending the event. The insurance certificate shall name Cozy Oaks Farm as an additional insured to the amount of $1,000,000 combined Single Limit for Bodily Injury and Property Damage. The certificate will need to be provided 60 days prior to the event.
What is the refund policy?
Unfortunately, we are unable to offer refunds for cancellations.
Do you decorate for me? Are there any restrictions as far as decorations?
No, sorry, we do not decorate for you. If you need additional help planning your day, we would be happy to recommend wedding planners! Our restrictions are no screws, nails, glue, or staples on the walls, ceilings, and floors. We recommend using zip ties and wire to hang decorations. Open flames are strictly prohibited during your event. All candles must be enclosed within secure containers.
What type of exits do you allow?
We allow any type of exit you can imagine! However, we ask that when choosing to throw petals for an exit, please ensure that they are real petals and not fake. We do not allow any fireworks other than sparklers to be used for your exit.
Will I be required to have a wedding planner/day-of coordinator?
Yes, we do require all weddings at Cozy Oaks Farm to have a licensed and insured wedding planner/day-of coordinator. This ensures that your event runs as smoothly and safely as possible.
We will be happy to provide you with some contacts of planners in the area if you are in need of one. A staff member will be present for your full event, but is not responsible for planning, coordinating or decorating.
Do you direct parking for my event?
No, we recommend having your wedding planner/day-of coordinator present during your event to direct traffic and parking. You are more than welcome to put out signs to make it easier for your guests.
Do you provide linens?
We do have the option for you to rent our standard white linens at an additional cost. Please reach out for pricing.
Do you require specific vendors?
No, you are welcome to use any vendor you'd like. We would be happy to give you recommendations if needed.
What is required for cleanup?
We require all trash to be put in the trash bins provided. We ask for the linens and napkins (if rented from us) to be left on all table tops. Please remove all items brought in for your event upon the close of the event.
What time can I start decorating? What time does my event need to end?
For full-day rentals access to the property begins at 8:00 a.m. We ask that your event starts to wrap up around 9:00 p.m., so that everyone can be off the property by midnight.
When is my final venue walk-through?
We require your final venue walk-through to be completed three weeks prior to your event date. Please contact us to schedule an appointment for your final walk through.
